Meadow & Mat / Place & access

Choose the place before the final layout.

Connect the outdoor idea with access, participant needs and the rules of the actual site.

  1. Know what the site permits

Identify the intended location and the party responsible for approving its use. Public spaces and private grounds can have different conditions. A photograph of a pleasant setting does not establish permission for an arranged gathering or the equipment proposed.

Ask the relevant operator about restrictions before finalising the plan. Keep any permission information with the booking details. The layout can then be discussed around confirmed conditions rather than an assumed right to use the space.

Think about arrival and departure

The route for people and equipment matters as much as the area where the mat will sit. Describe distance, steps, surfaces and vehicle restrictions. Include practical participant requirements so seating and movement can be considered from the start.

Keep a weather alternative and a clear timetable in the plan. The handling of supplied items and any collection arrangement need to be confirmed. An outdoor gathering should have a practical next step if the intended setting cannot be used.
